1. Standard Terms and Conditions for Telecoms, Software Licences & I.T Services.

1.1 Term & Termination

(1) Minimum Term: The minimum term unless stated otherwise in the service agreement is 36 months. On termination of this agreement for whatever reason, you agree to immediately pay any outstanding invoices and be responsible for any other costs outstanding to us. In addition, if the agreement is terminated prior to the end of the period specified in the agreement prior to our services being completed, you agree to reimburse Lansafe for any costs incurred, and in addition pay an early termination fee.

(2) Early Transfer: Should you terminate the agreement prior to your services being transferred to Lansafe from your losing provider, you will be liable for a precontract consultancy fee which must be paid in full within 14 days. In the event that you cancel or move your services to another provider during contract or outside of the notice period, you will be liable for the remainder of the term with Lansafe, including line rental, services charges, and your average monthly call spend calculated to the end of the agreed term.

(3) Renewal Terms: Agreements shall commence on the Effective Date and continue for the initial term stated. The Agreement shall automatically renew for successive periods of 12 months unless either party gives the other not less than 60 days written notice of its intention not to renew prior to the end of the Initial Term or current Renewal Term.

(4) Cancellation Documentation: A 'Cancellation of Services' document must be completed for all cancellations and password requests. A minimum term of 12 months applies to all new broadband installations and transfers.

1.2 Flexible Terms Policy

Our ‘Flexible Terms Policy’ allows customers to amend monthly service charges in line with their business requirements. All prices are fixed for the full term of the agreement. Leased line charges are excluded. FTTP broadband can be reviewed under the Flexible Terms Policy on the annual anniversary. Adjustments can be made to Licences, Line rentals, minute bundles, and monthly support charges subject to standard terms.

1.3 Payment Terms & Direct Debit

(1) Direct Debit Mandate: Monthly variable direct debit is the only acceptable means of payment for Lansafe invoices. An administration charge may apply to customers declining to pay by direct debit. You are always protected by the Direct Debit Guarantee.

(2) Contract Acceptance: Once payment is received by Lansafe or the first monthly direct debit has been collected, you are agreeing to the full contract period set out within the contract.

1.4 Service Repairs & Hardware Warranty

(1) SLA Response: In the event of a fault, Lansafe will raise a request to the network within 30 minutes of the fault being reported.

(2) Hardware Replacement: During the first 28 days, Lansafe will exchange any handset that develops a fault. Lansafe will provide a next-day temporary handset replacement service during repairs.

1.5 Cyber Security (IMPACT Measure Notice)

When signing up to our cyber security offering IMPACT, clients affirm their understanding of the shared responsibility in maintaining a vigilant and proactive approach to security. While we adhere to industry best practices, complete immunity from modern cyber attacks cannot be guaranteed by any system, and proactive user password hygiene is required.

1.6 Rates & Out of Bundle Usage

Data charges for data used outside the specified tariff allowance will be charged at £1.50 per Gigabyte. Customers are responsible for data and international roaming charges incurred outside UK allowances.

2. Security & Fire Maintenance Terms and Conditions.

2.1 Preventative Maintenance

Preventative maintenance is carried out during normal working hours (8:00 AM to 5:00 PM, Monday to Friday inclusive). A preventative maintenance visit consists of a complete check and testing of your security systems to NSI NCP:104 and BSI standards in line with your Service Level Agreement (SLA).

2.2 Corrective Maintenance & Response Times

Provides for an accredited engineer representative being on site within 24 hours of the next working day of the fault being reported to the company unless exceptional circumstances prevail. All new materials fitted will be charged at current prices if existing parts are outside warranty.

2.3 Contract Term & Direct Debit Collection

(1) Term & Notice: The contract term is 12 months from the date outlined in the agreement. The contract may be cancelled by either party with 30 days written notice after the minimum 12-month agreement has been fulfilled.

(2) Direct Debit Schedule: Monthly payments are invoiced on or around the 6th of each calendar month and collected by Direct Debit 21 days thereafter. Annual payments are invoiced on completion of works or at the start of the agreement, then every 12 months.

2.4 CCTV Monitoring & Police URN Rules

(1) CCTV Storage & Retrieval: CCTV monitoring ensures all equipment is recording and in working order. Footage retrieval assistance to local police authorities is included upon customer request.

(2) Police URN Threshold: For all monitored Police Unique Reference Number (URN) systems, police authorities strictly permit a maximum of 2 false alarms. The customer will lose the URN connection if a 3rd false alarm resulting in police response occurs.

2.5 Health & Safety Compliance

Compliance is a legal requirement to carry out regular checks on life-safety systems including emergency lighting (BS 5266-1) and fire alarm systems (BS 5839-1 / BAFE SP203-1). Security systems (CCTV, Intruder, and Access Control) are maintained to British Standards (BS EN 50131 / NSI NCP:104).
